Upload monthly Amazon VAT reports

Upload one report per seller account and month, review missing evidence, and keep document exports current.

Orders → Monthly reports keeps a separate VAT Transactions Report for each Amazon seller account and calendar month. You can upload several monthly CSV files together. Upload each report once; future uploads of the identical file do not add duplicate transactions.

Get the right report

In Seller Central, download the Amazon VAT Transactions Report for a complete calendar month. Use Amazon’s official VAT Transactions Report guidance.

Keep the original CSV unchanged. Do not upload an invoice PDF, settlement report, CountX file, Excel workbook or ZIP. Each CSV can be at most 100 MB. A batch can contain up to six files, with one file per month.

The report contains both Seller and Marketplace tax responsibility. You upload it once; the export filters choose the appropriate responsibility. Do not remove marketplace rows from the source file.

Upload one or several months

  1. Open Orders → Monthly reports and choose the Amazon account.
  2. Check the Seller ID in Connections if this account has not been configured completely. The account identifier inside the CSV must match it.
  3. Select Choose files, or drop the monthly CSV files into the upload area.
  4. Check the Reporting month beside every file. A month inferred from the filename is only a suggestion; the actual report contents are validated separately.
  5. Select Upload reports. The app stores the original privately and processes it in the background. You can leave the page and return later.
  6. Review the month’s status and any source issues before creating a document export.

Quick links in Connections and Exports open the relevant monthly reports.

Understand the status

Status Meaning
Not due yet The monthly report is normally available from the third day of the next month. This is not an overdue warning.
Missing No accepted report is active for this account and month.
Processing The file is queued or being checked. It is not included in exports yet.
Not accepted The report type, account, month, structure or another required check failed. Upload a corrected original CSV.
Needs review The report was normalized, but source amount/country errors prevent the affected document export.
Ready The report is active. Optional or source-missing references can still be listed separately.

Details shows source row numbers, order references and specific checks. A missing consumer VAT ID is not automatically an error. Some Amazon rows do not include an invoice/credit number; these remain blank and visible. Missing monetary values remain missing rather than becoming invented tax amounts.

Replace a report safely

Choose Replace for a month, select the new CSV and confirm the replacement. The previous revision stays active while the new file is checked. A rejected replacement does not remove a valid earlier report.

Activation replaces the month’s data atomically. Old exports become stale and must be regenerated. Both creating and downloading a document export check current report coverage; a cached file cannot bypass a missing or changed report.

What changes in exports

Document data supplies invoice/credit references, completion/reporting dates, customer details where provided, reported VAT jurisdiction, responsibility and original-currency amounts. The reporting date is Amazon’s transaction completion date, not an independently verified invoice issue date. Original currencies remain available; selecting EUR conversion is a separate export choice.

The monthly accounting register uses Amazon document transactions and retains existing source events for other channels. It does not add uploaded transactions to sales analytics or count a sale twice. Shopify, Allegro and WeClapp order feeds do not automatically become issued invoice feeds: their missing document references remain explicit until document evidence is connected.

Uploading a report does not change saved column names, order, file type or number formatting. Check the export preview against your accountant’s required format.

Storage and access

Original reports are private and cannot be downloaded through the app. Authorized users can inspect normalized information and report checks. Invoice URLs contained in a CSV are not opened automatically. Access follows workspace permissions; uploading requires Connections access as well as access to Orders.
